Notion is not a dedicated CRM but with the right database structure it handles the core CRM functions that most freelancers and small businesses actually use. Here is a setup that works in practice rather than just looking good in a demo.
The core database structure
You need two main databases: Contacts and Interactions. The Contacts database stores one record per person or company. The Interactions database stores every significant touchpoint. Linking them through a relation property creates a full history for each contact automatically.
The Contacts database
Essential properties: Name, Company, Email, Phone, Status (lead, prospect, client, former client), Source (how you found them), Value (estimated deal value), Last contact date, and a relation to Interactions. Create a formula property that calculates days since last contact. Filter by this to find contacts that have gone cold.
The Interactions database
Essential properties: Contact (relation), Date, Type (call, email, meeting, proposal), Summary, and Next action. Every time you have a significant interaction, add a record here. The linked view on each contact record shows the full history automatically.
Views that make the CRM useful
Create a board view of Contacts filtered by Status to see your pipeline visually. Create a gallery view sorted by Last contact date to quickly identify relationships that need attention. Create a table view filtered to your current month showing Interactions by date to see your activity level.
What Notion CRM cannot do
Automated email sequences, email tracking, and email syncing are not available in Notion. If these are essential to your sales process, a dedicated CRM like HubSpot free is a better choice. For relationship tracking and pipeline management without automation, Notion works well.
The honest assessment
Notion works as a CRM for up to about 200 active contacts managed manually. Above that, the lack of automation becomes a genuine limitation. For freelancers and small businesses with a manageable number of relationships, it is a completely viable free alternative to paid CRM tools.
